Quote Terms, Purchase Conditions & Refund Policy

Effective Date: July 14, 2026

Thank you for considering Ai Technology Professionals, LLC ("Ai Technology Professionals," "we," "our," or "us"). These Quote Terms, Purchase Conditions & Refund Policy ("Terms") apply to all products and services described in a quote.

1. Scope of Work

A quote includes only the products, services, labor, and deliverables specifically identified. Any additional work, products, services, or modifications requested after acceptance may require a revised quote and may result in additional charges.

2. Quote Pricing

All pricing is based on current vendor and distributor costs and is subject to change until the quote has been accepted and any required deposit has been received.

Manufacturer pricing, software licensing, cloud subscriptions, freight costs, tariffs, product availability, and other supplier-related expenses may change without notice. If pricing changes before products are ordered or services begin, Ai Technology Professionals, LLC will provide an updated quote for approval before proceeding.

3. Product Availability

All quoted products are subject to manufacturer and distributor availability. If a quoted item becomes unavailable or discontinued, we may recommend a comparable replacement with customer approval.

4. Payment Terms

  • Payment is due according to the terms stated on the applicable invoice.
  • Deposits may be required before equipment is ordered, software licenses are purchased, subscriptions are activated, or work begins.
  • Hardware, software, cloud subscriptions, and special-order products may require payment in advance.

5. Taxes

Quoted prices do not include applicable federal, state, or local taxes unless specifically stated. Any required taxes, governmental fees, or assessments will be added to the final invoice as required by law.

6. Project Scheduling

Estimated schedules are based on current technician availability, supplier lead times, and customer readiness. While every reasonable effort will be made to meet projected timelines, delays caused by manufacturers, distributors, shipping carriers, third-party vendors, customer requests, or circumstances beyond our reasonable control may affect project completion dates.

7. Customer Responsibilities

The customer agrees to:

  • Provide reasonable access to facilities, equipment, systems, and authorized personnel.
  • Maintain reliable electrical power and internet connectivity when required.
  • Maintain current backups of critical business data unless backup services are specifically included in the quote.
  • Provide timely approvals, information, and access necessary to complete the project.

8. Change Requests

Changes to the agreed scope may require additional labor, equipment, software, licensing, or project-management services and may result in additional charges. No additional work will be performed without customer approval.

9. Product Warranties

Hardware, software, subscriptions, and other products are subject solely to the applicable manufacturer's or vendor's warranty, if any.

Ai Technology Professionals, LLC does not provide any additional warranty unless expressly stated in writing.

10. Refund Policy

Professional Services

Payments for consulting, labor, installation, configuration, troubleshooting, remote support, onsite support, project work, and other completed professional services are non-refundable.

If work has begun but has not been completed, any refund or credit will be determined solely by Ai Technology Professionals, LLC based on work completed and non-recoverable costs incurred.

Hardware and Equipment

Returns of standard hardware may be accepted only when:

  • The return is approved by Ai Technology Professionals, LLC;
  • The manufacturer or distributor permits the return;
  • The product is returned in new, unused condition with its original packaging; and
  • The customer pays any applicable restocking fees, shipping charges, or supplier fees.

Custom-built, configured, opened, installed, damaged, or special-order products are not eligible for a refund unless otherwise required by law.

Software, Licensing and Cloud Services

Software licenses, subscription services, cloud services, SaaS products, activation keys, digital products, and electronically delivered software are non-refundable once purchased, activated, or provisioned unless the applicable publisher or service provider permits a refund.

Deposits

Deposits may be used to reserve project scheduling, purchase equipment, obtain licenses, or secure third-party services. Deposits are generally non-refundable once those commitments have been made.

Manufacturer Defects

Defective products are generally covered under the applicable manufacturer's warranty. Ai Technology Professionals, LLC may reasonably assist customers with manufacturer warranty claims but does not provide refunds for manufacturer warranty issues unless required by law.

11. Order Cancellations

Orders canceled after products have been ordered, licenses purchased, subscriptions activated, or services scheduled may be subject to restocking fees, supplier charges, shipping costs, cancellation fees, and reimbursement of non-recoverable expenses incurred by Ai Technology Professionals, LLC.

12. Acceptance

Acceptance of a quote by signature, electronic acceptance, purchase order, email authorization, or payment authorizes Ai Technology Professionals, LLC to proceed with the products and services described.

The customer further acknowledges that they have read and agree to these Quote Terms, Purchase Conditions & Refund Policy. Where applicable, the customer also agrees to the associated Statement of Work ("SOW") and Master Services Agreement ("MSA"), each of which may be incorporated into the quote by reference.
